Large-scale fundraising mailing across England

Introduction

In England, The Salvation Army relies heavily on donations and legacies as key sources of income. That makes a well-executed fundraising campaign more than a marketing activity. It is an essential part of the organisation’s funding.

For this annual campaign, Mailit4u manages the full coordination and execution of an advanced direct mailing across England. This is a large-scale operation in which personalisation, production, pack assembly, distribution planning and reporting all need to work together seamlessly.

The Challenge

This fundraising campaign involved exceptional complexity.

The campaign consisted of 1.2 million mailpacks, dispatched from six different locations. Each mailpack was carefully assembled and included a fundraising letter, donation form, return envelope, notepad and outer envelope.

The mailing was personalised at household address level and included handwritten messages and unique codes on both the printed materials and the return envelope.

In addition, different dispatch flows required different delivery dates. These had to be carefully aligned with the capacity of the customer contact centre, so incoming responses and follow-up calls could be managed properly.

The challenge was therefore not only the volume, but especially the combination of scale, accuracy and controlled follow-up.

The Solution

Mailit4u managed the complete process from start to finish.

  1. Data-driven personalisation
    The mailing was personalised at household address level, including unique codes and handwritten-style elements to increase relevance and response.
  2. Complete mailpack assembly
    All components of the mailpack were centrally coordinated and accurately brought together into one compelling fundraising package.
  3. Phased distribution planning
    The campaign was dispatched according to a specially designed timetable, allowing the customer contact centre to manage the response flow effectively.
  4. Reporting and proof of dispatch
    For each flow, The Salvation Army received dispatch samples as proof, supported by detailed distribution reports.
